WG-FSA-12 INFORMATION NOTE
The following information is provided by the Secretariat for the use of WG-FSA-12 participants.
1. Dates
8 to 19 October 2012.
2. Venue
CCAMLR Headquarters, 181 Macquarie Street, Hobart, Tasmania, Australia.
The building will be open from 0745 h and will close between 1800 h Monday to Friday.
Car parking
Please note that there is no car parking available on the Headquarters site. If parking is required, please contact the Secretariat for details on nearby parking stations.
3. Registration and distribution of meeting papers
Online registration
Participants need to register via the CCAMLR website and will be required to submit a digital passport-size photograph (jpg format) in order that their photo-identification cards are available on arrival. Participants who have previously attended CCAMLR meetings and who wish to use their existing photograph should notify the Secretariat accordingly.
The Secretariat’s policy for a greener office encourages the use of electronic documents whenever possible. It should be noted that all meeting papers will be available on the website prior to the meeting as well as on a USB, to be collected on arrival at CCAMLR Headquarters.
Online registration will be accepted up until 28 September 2012.
Participants who experience difficulties with registering online should contact the Secretariat on registration [at] ccamlr [dot] org.
Please note that online registration does not constitute official notification of attendance and online registration will not be processed unless official notification of participants' attendance has been received from the Member/Observer concerned.
All notifications should be sent by the official Scientific Committee contact.
Participants should also note that participants who register online and require a visa to enter Australia must also submit a Personal Information Form (see Item 8 below).
Identification on arrival
All participants will be required to provide photographic identification (i.e. passport or national driver’s licence) on first arrival at the CCAMLR Headquarters. The absence of such identification may result in non-admittance to the Headquarters.
4. Accommodation
Links to details of various types of accommodation available in Hobart can be found on Visitor information for Hobart and Tasmania. Please note that the Secretariat is not responsible for reservations. As there are a number of conferences being held in Hobart during October/November, reservations should be made as far as possible in advance of the CCAMLR meetings.
5. Computing facilities and data access
A wireless network will be in operation for the duration of the meetings, with access to the Internet on a reasonable-use basis. The overall daily usage will be monitored.
In addition, an Internet Café with three computers will be available for participants to access the Internet and web-based email accounts, as well as to work on other computer-related tasks. Access to computers will be limited to 15-minute sessions.
Limited printing facilities will be provided.
Wireless Network
Access to the CCAMLR meeting network and the Internet will be available via WiFi from within the CCAMLR building. Access details will be provided upon registration.
Data
Fishery, observer and research data held in the CCAMLR databases are accessible to meeting participants subject to the Rules for Access and Use of CCAMLR Data. Data requests must be directed to the Data Manager.
6. Social functions
Details of various events associated with WG-FSA-12 will be distributed at a later date.
7. Travel Arrangements
Travel arrangements to and from the meetings are the responsibility of participants. When purchasing airline tickets, overseas participants should advise travel agents that they are exempt from the Passenger Movement Charge.
8. Visa Requirements
Participants are requested to pay particular attention to the instructions concerning visa requirements for entry into Australia which are provided on a secure section of the CCAMLR website (Visa requirements for visiting Australia). This information includes the Personal Information Form which is to be completed for each person nominated to attend the meeting and submitted to the Secretariat at least two months prior to the person’s intended date of departure. This form relates to visa applications only and should not be confused with the online registration form (see Item 3).
